Executive Assistant

We’re hiring an Executive Assistant to the Chief Executive.

The Executive Assistant supports the Chief Executive and wider team in ensuring effective management of scheduling and administrative needs.

This is a great role for an experienced administrative professional who enjoys being part of a small, high performing and flexible team.   

Position: Executive Assistant

Type: Full or Part time

Location: New Zealand (Hybrid or remote)

Reports to: Chief Executive

Salary band: $70,000 - $80,000 per annum full time equivalent

The advertised per annum salary bands are the full-time equivalent (FTE) rate and will be pro-rated according to the number of hours worked per week.

Key Responsibilities 

  • Coordinating executive calendars and scheduling meetings

  • Handling correspondence (emails, stakeholder inquiries)

  • Preparing reports, presentations and other documents

  • Coordinating travel arrangements

  • Organizing and maintaining files

  • Handling confidential information

  • Managing a CRM

  • Booking rooms and supporting with events, workshops and stakeholder meetings

  

Skills and experience: 

  • Ability to manage complex schedules and coordinate high-level meetings.

  • Expertise in organizing and prioritizing tasks to ensure efficient workflow.

  • Exceptional verbal and written communication skills.

  • Ability to liaise effectively with internal and external stakeholders, including high-ranking officials, board members, and other executives.

  • Meticulous attention to detail to ensure accuracy in reports, presentations, and correspondence.

  • Strong proofreading and editing skills.

  • High level of discretion and integrity when handling confidential and sensitive information.

  • Proficiency in office software (e.g., Microsoft Office Suite, especially Teams, Excel and PowerPoint).

  • Ability to anticipate the needs of the Chair, CEO and proactively address potential issues.

  • Excellent time management skills to handle multiple tasks and meet deadlines.

  • Ability to work in a fast-paced environment

 

Qualifications: 

  • Tertiary qualification or equivalent in Business Administration or related field

  • Eligible to work in New Zealand
